v5: E-mail Notification of Success or Failure of a Backup



For many users, e-mail notification of Success or Failure of a backup helps keep them on top of the status of their backups, particularly with scheduled backups which take place in the background.  This tutorial applies to both Image and File and Folder backups.

There are 3 parts of this tutorial:

Server Settings
Global e-mail message on Success or Failure of Backup
E-mail Notification for Existing Individual Backups


Server Settings

This covers the setup of your SMTP server for sending your emails. Your SMTP server will usually be provided by your Internet Service Provider (ISP) and you'll need to obtain the required settings from them.
1.  From the 'Other Tasks' menu select 'Edit Defaults'.
2.  In the new dialog select the e-mail icon from the top row:

3. In the new dialog select 'Email Server' option down the left side (if not already selected).

In the right hand panel enter your e-mail address and Server settings.  If you use e-mail software such as 'Outlook', you can find the settings under 'Account Settings' for e-mail address, user-name and Server. Enter details as follows:

Senders Email: Your E-mail address associated with your ISP or gmail account etc.
Authentication: If you do not know your Authentication settings within this drop down menu try 'Auto Detect'.
Username:  Your user name associated with your e-mail account.  Often this is your e-mail address or perhaps the part of the e-mail address to the left of '@'.
Password: This is the password for your e-mail Server.
Server:  This is the outgoing / SMTP Server setting (see examples below) or IP address.
Connection Type: Select from 'Drop down menu' the setting for how Macrium Reflect will connect to the Server.
Port: This is associated with 'Connection Type' and is the Port number that the SMTP server is listening on.
Test Recipients: Enter an e-mail address to test your settings by sending a test e-mail.  After entering this click on 'Test' button.

The following are two examples to show completed Server settings for a typical ISP and for gmail, a test e-mail address is also needed:



Global e-mail message on Success or Failure of Backup

This covers your default email success and failure messages setup. These settings are applied to all new backup definitions.

1.  Email Success option.
(a) Select the E-mail Success option in left hand column of dialog, if an e-mail on backup success is not required go to Email Failure option at step 2.
(b) In the dialog select check-box 'Send Email Notifications on successful backups'.
(c) Optionally tick check boxes for 'Attach log file' and 'Attach VSS log file' if these are needed.
(d) Enter the e-mail addresses for the recipients of the successful e-mail.  Separate each recipient with a semi-colon (;).
(e) Enter the subject for the e-mail, changing the existing content as necessary.
(f) Enter the content for the e-mail making sure the PC that generated the success is identified appropriately.

2.  Email Failure Option
(a) Select the E-mail Failure option in left hand column of dialog.
(b) In the dialog select check-box 'Send Email Notifications on Failed backups'.
(c) Optionally tick check boxes for 'Attach log file' and 'Attach VSS log file'; these are useful to identify the cause of the failure.
(d) Enter the e-mail addresses for the recipients of the failure e-mail.  Separate each recipient with a semi-colon (;).
(e) Enter the subject for the e-mail, changing the existing content as necessary.
(f) Enter the content for the e-mail making sure the PC that generated the failure is identified appropriately.
(g) After setting the e-mail content click on 'OK'



E-mail Notification for Existing Individual Backups

1.  Select Backup Definition needing e-mail notification
Under the Backup tab select the 'Backup Definition Files' tab and find the definition file you need e-mails for and right click this definition then select 'Advanced Properties'
